We work in conjunction with a travel agency called Wembley Travel who are responsible for all of our air, road and accommodation reservations. Their reputation in the travel industry also allow us the leeway to negotiate the best possible deals or rates for our clients as far as travel and accommodation are concerned.

As part of the overall conference co-ordination package we can also:

• Provide you, the client, with a comprehensive daily progress tracking report (traffic report)
• Assist in the drawing up of a comprehensive budget
• Locate conference venues and accommodation facilities
• Liaise with outside vendors to ensure centralised control over the processes
• Produce laminated name tags/ design and print forms
• Ensure an accurate registration process and provide a comprehensive participant list to all delegates before the end of the conference
• Co-ordinate travel arrangements directly with invitees & presenters
• Ensure that all special needs of participants are met in respect of meals (halaal, kosher, etc), travel, health, etc.
• Collate all presentation papers before-hand and generate a workbook for each participant
• Assist in compiling the programme
• Arrange low-cost photo copying, fax facilities, Internet & Email access at the venue
• Co-ordinate all airport/hotel/airport transfers
• Devise extra-mural activities for participants as well as accompanying parties
• Arrange all flight and other transport changes
• Arrange for printing of banners and other signage
• Arrange video/audio recording and translation facilities.
